Most of this information relates to businesses and the people who work for them. We do not knowingly collect sensitive information (such as health data) and ask that you don’t send it to us.
3. Where we get your information
We collect information:
- directly from you, when you contact us, complete a form, request a quote, sign a contract or speak to your account manager;

4. How we use your information and our legal basis
Data protection law requires us to have a lawful reason (a “legal basis”) for each way we use personal information.
| What we use it for | Our legal basis |
|---|---|
| Responding to your enquiries and preparing quotes | Taking steps at your request before entering into a contract, or our legitimate interest in responding to business enquiries |
| Arranging, providing and supporting the services you take from us, including quarterly tariff reviews and handling faults or warranty claims | Performance of our contract with you, or our legitimate interest in supporting our business customers |
| Passing your details to networks, energy suppliers and installers so they can provide the services you have chosen | Performance of our contract with you |
| Billing, collecting payments and keeping financial records | Performance of our contract, and compliance with our legal obligations |
| Handling complaints, including referring them to an ombudsman | Our legitimate interest in resolving complaints, and compliance with regulatory obligations |

| Understanding how people use our website so we can improve it | Your consent (for non-essential cookies) |
| Keeping our website and systems secure and preventing fraud | Our legitimate interest in protecting our business and customers |
| Complying with the law, regulators and law enforcement, and establishing or defending legal claims | Compliance with legal obligations, and our legitimate interest in protecting our legal rights |
Where we rely on legitimate interests, we have considered your rights and are satisfied that they are not overridden by our interests. You can ask us for more detail about this.
5. Marketing
If you are a business customer or have enquired about our services, we may contact you by email or phone about similar services that could benefit your business. If you are a sole trader or in a partnership, we will only send you marketing emails if you have agreed to receive them or you have bought or enquired about similar services from us.
Every marketing email includes a way to unsubscribe, and you can tell us at any time that you no longer want to hear from us by emailing enquiries@complete-ict.net or calling 01782 346493. We will never sell your personal information to anyone.
6. Who we share your information with
We only share personal information where it is necessary for the purposes set out above. This may include:
- mobile networks and telecoms providers, such as EE, O2 and Vodafone, and broadband, leased line and VoIP providers;
- energy suppliers, meter operators and data collectors, when we compare prices, arrange contracts or monitor your energy use;
- vehicle tracking providers, when you take a tracking service through us;
- installers and engineers, for solar PV, EV charging, connectivity and phone system installations;
- service providers who support our business, such as our website developer and host, IT support, email and software providers, and accountants – they may only use your information on our instructions;
- professional advisers and insurers, where reasonably necessary;
- ombudsman schemes and regulators, if you refer a complaint to them or they request information; and
- the police, courts or other authorities, where the law requires us to.
If our business is ever sold or merged, personal information may be transferred to the new owner, who would be bound to use it in line with this policy.
7. Vehicle tracking data
Where we supply vehicle tracking to your business, location and driving data from your vehicles is collected and processed by the tracking provider on behalf of your business. Your business decides how that data is used and is responsible for telling its drivers about the tracking. We only access that data where needed to support your service.
8. Cookies and website tools
Cookies are small files stored on your device when you visit a website. We use:
- Essential cookies, which make the website work and keep it secure. These do not need your consent.
- Analytics cookies, from Google Analytics, which tell us how visitors use our site (for example, which pages are popular). We only set these with your consent.
- Marketing and form tools, including WPForms (our contact forms), OptinMonster (on-site messages) and our appointment booking system, which may set cookies to work properly.
You can accept or reject non-essential cookies when you first visit our site, and you can change your choice at any time. You can also block or delete cookies through your browser settings, although some parts of the site may not work as well.
9. How long we keep your information
We keep personal information only for as long as we need it:
- Enquiries that don’t lead to a contract: up to 2 years from our last contact.
- Customer and contract records: for the length of the contract and 6 years after it ends, so we can meet tax and accounting requirements and deal with any legal claims.
- Complaint records: 6 years from when the complaint is closed.
- Marketing records: until you unsubscribe, after which we keep a note of your request so we don’t contact you again.
- Website analytics data: up to 26 months.
When information is no longer needed, we securely delete or anonymise it.
10. Keeping your information secure
We use appropriate technical and organisational measures to protect personal information, including secure, password-protected systems, access limited to staff who need it, and security software on our website. Where we use service providers, we require them to protect your information to the same standard.
11. Transfers outside the UK
Most of the information we hold is stored in the UK. Some of our service providers, such as Google, may process information outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK–US Data Bridge, or standard contractual clauses approved by the Information Commissioner.
12. Your rights
Under data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information in certain circumstances;
- ask us to restrict how we use your information in certain circumstances;
- object to us using your information on the basis of legitimate interests, and to object to direct marketing at any time;
- ask us to transfer information you have given us to another organisation; and
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, email enquiries@complete-ict.net or write to us at our trading address. There is normally no charge, and we will respond within one month.
13. Complaints
